We have an excellent opportunity for the position of Sr. Associate - Office Administration, to manage daily operations and plan the most efficient administrative procedures.

The ideal candidate must be well-versed in Admin activities and also support the HR Manager with HR operations activities. The person should be able to actively discover new ways to do the job more efficiently.

What you’ll do:

  • Perform an extensive array of administrative tasks e.g. managing calendars, travel, hotel, venue booking and vendor management etc.
  • Oversee the monthly budget preparation for Administration and present for management approval, monitor and control the budget
  • Responsible for processing all vendor invoices and ensure timely payments
  • Meeting rooms bookings based on business requirement
  • Manage Visa, Ticketing, and Hotel booking at domestic as well as international level
  • Lead vendor negotiations and new vendor empanelment i.e. hotels / airlines and others & establishing a sustainable, mutually beneficial relationship with them
  • Event coordination and management, Organizing off-sites etc.
  • Track & manage employee reimbursements
  • Arrange employee gifting on special occasions/ festivals etc.
  • Assisting India Leadership in Secretarial work
  • Assist HR manager with day to day HR operations activities i.e. maintaining employee files & statutory registers
  • Managing group medical insurance documents and assisting employees in cashless and reimbursement process
  • Manage special projects related to HR and administration from time to time
  • Manage laptop service provider and ensure timely payments to them

What we are looking for:

  • Post Graduate/Graduate with 4+ years of relevant experience in facilities & administration management with (preferably) prior experience in start-ups/ tech companies
  • Excellent communication, interpersonal and presentation skills
  • A go-getter, team player, ability to multitask
  • Demonstrated intense customer focus
  • Ability to adapt and learn in a changing work environment
  • Highest level of integrity, intellectual honesty, and strong work ethics
  • Proficiency in Microsoft Office suite (Power point, Excel and word)
  • Excellent vendor management and ability to work under pressure
